Our client is a Renewable Energy Semiconductor Manufacturing company with is headquarters in Egypt and they are currently looking to recruit an Office Manager /Administrator for their offices in Nicosia
The successful candidate will play a central role supporting daily operations of the company’s dynamic multinational team, maintain smooth office operations and support our executives. If you're an organized, confident communicator who enjoys dynamic work, this is the role for you.
Responsibilities:
- Maintain the office condition and arrange necessary repairs.
- Organize office operations and procedures.
- Provide general support to visitors.
- Plan in-house or off-site activities, like parties, celebrations, and conferences.
- Liaise with facility management vendors, including cleaning, catering, and security services.
- Address employees’ queries regarding office management issues (e.g., stationery, hardware, and travel arrangements)
- Manage all aspects of the management team, intensive calendar, including scheduling meetings, researching, organizing, and preparing confidential briefing and meeting materials.
- Act as the point of contact among executives, employees, clients, and other external partners.
- Maintain confidentiality of highly sensitive information.
- Organize and prepare meetings, Drafting meeting minutes.
- Prioritize emails and respond when necessary.
Additional:
- Keep track of the petty cash through the company’s registry and ensure all receipts are recorded for the accounting department.
- Manage office G&A budget, ensure accurate and timely reporting.
- Assisting the HR and the finance department by keeping personnel records up to date, arranging interviews and updating financial documents.
Skills and Experience required:
- Proven experience as an Office Manager, Front Office Manager or Administrative Assistant.
- Fluency in Greek & English (written & spoken)
- Proficient computer skills in (Microsoft Word, Power Point, Access, Excel, Outlook, keen to learn new systems).
- Ability to manage multiple projects across a variety of stakeholders.
- Excellent interpersonal, organizational, and analytical skills.
- Strong organizational and time management skills.
- Ability to work under pressure in a dynamic environment.
- A learning mindset, and the ability to accept and participate in feedback.
