Our client, a well-known group of companies who offer services across five inter-connected industries: Maritime, Business, Travel, Property and Environment, is looking to hire a Documentations Officer, location is Limassol.
- Business Objectives: Checks and handles all forwarding documentation and invoices before sending to the account
- Reports To: Senior Clients Service Officer and Head of Department
- Liaisons: Liaises with the colleagues within the department and the agency department as well as with the external clients and external operators.
- Authority Level:
- Deals with all areas or responsibility stated below.
- May not interfere or take over duties and responsibilities of peers without consent of the person concerned.
- Requires written consent from the Immediate Superior to carry out duties over and above specific responsibilities specified below.
General Responsibilities and Duties:
- Ensures Continuous self - development of knowledge and skills and attitudes
- Maintains a high level of product related knowledge and skills appropriate to the job position held.
- Meets and exceeds requirements of tasks as assigned by the immediate Superior Management in addition to the job description as per business requirements
- Attends meetings as per business requirements prior to the meeting fully prepared.
- Takes part actively and implements decisions taken at the meeting and role assigned to him/her
- Performs any other duties assigned to her by the Immediate Manager/Supervisor
- Informs the Immediate Superior about major events or opportunities, deviations etc as they may arise
- Inform the Immediate Manager/Supervisor on all activities regarding the competition and suggest counter activities for the benefit of the company
- Abides by any decision made by the Directors(s), and the Management Team of the Organization,
- Does not conspire or creates problems with other team members or staff of other departments and failure to abstain from such practises will lead to disciplinary action.
Main Duties and Responsibilities:
Daily Operations
- Receives and checks import export and cross trade files for air freights or Sea freights
- Prepares import and export documentation in the company’s Freight Plus computer system
- Invoices clients and agents accordingly.
- Maintain files in good order upon final receipt/delivery and invoicing.
- Ensures that the correct costs and proper disbursements are entered in the Freight system.
- Prepares and issues invoices in accordance with the Company’s credit policy.
- Issues and ensures dispatch of all credit invoices and shipping documents to clients.
- Prepares end-of-day actions and deliver reports and relevant documents to the Accounts Department for processing and final approval form the H.O.D.
- Follow up and control suppliers, agents and third-party invoices related to the Forwarding Department.
- Undertakes any task assigned by the Head of Forwarding Department, or C.E.O.
- Maintains all files and ensures that the filing system is maintained according to ISO requirements of our company
