Our client, a leading IVF clinic dedicated to providing compassionate care and support to couples on their fertility journey are looking for an experienced and organized Administration Secretary to join their growing team in Limassol.
As an Administration Secretary at the clinic, you will be the first point of contact for patients and play a crucial role in ensuring smooth and efficient day-to-day operations. You will provide high-level administrative support, manage patient records, handle inquiries, and assist in scheduling appointments.
Responsibilities:
- Greet and assist patients, ensuring they feel welcomed and supported.
- Manage appointment scheduling for doctors and fertility specialists.
- Maintain accurate patient records, ensuring confidentiality and compliance with data protection regulations.
- Answer phone calls, emails, and online inquiries, providing information about treatments and services.
- Coordinate with the medical team to ensure seamless clinic operations.
- Prepare patient files and forms, ensuring all necessary documentation is completed accurately.
- Handle billing, insurance verification, and payment processing.
- Maintain office supplies and assist in administrative tasks as needed.
- Perform other administrative duties as assigned.
Requirements:
- Proven experience as an administrative secretary or in a similar role, ideally in a medical or healthcare setting (experience in an IVF clinic is a plus).
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills, with a compassionate and patient-focused approach.
- Proficient in Microsoft Office Suite and medical management software (experience with clinic management software is an advantage).
- Ability to handle sensitive information with the utmost discretion and confidentiality.
- Ability to multitask and manage time effectively in a busy environment.
- Computer literacy

Working hours:
- The clinic operates Monday to Friday from 9 AM to 6 PM and Saturday 9 AM to 1 PM, including a 1-hour break. Being a daycare clinic, they do not follow a shift-based schedule.
