For our client, a Fintech Company in Limassol, we are looking for a highly organized and proactive Executive Assistant to provide administrative and strategic support to senior leadership. This role requires exceptional attention to detail, strong time management skills, and the ability to handle sensitive information with professionalism and discretion. The ideal candidate is tech-savvy, problem-solver, and excellent communicator who thrives in a fast-paced environment.
Responsibilities:
Administrative & Executive Support:
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel.
- Handle confidential communications, emails, and phone calls on behalf of the executive.
- Organize and coordinate executive team meetings, including agenda preparation and follow-ups.
- Maintain and organize files, records, and key documents.
Project & Operations Support:
- Assist in strategic projects by tracking deliverables and deadlines.
- Conduct research and prepare summaries to support executive decision-making.
- Liaise with internal teams and external partners on behalf of the executive.
- Manage special assignments as needed.
Information & Document Management:
- Organize and maintain digital and physical files, ensuring proper categorization and easy retrieval.
- Manage shared drives, cloud storage and databases.
- Assist in document automation, formatting, and standardization for efficiency.
Research & Data Gathering:
- Gather and compile data from various sources (reports, databases) to support executive decision making.
- Prepare summaries, reports, and presentations with key insights.
Communications & Team Coordination:
- Assist in drafting internal newsletters, announcements, and team updates
- Organize and document team meetings, including agendas, notes and action items
System & Process Optimization:
- Evaluate and improve administrative and operational workflows to increase efficiency.
- Implement automation tools to streamline repetitive tasks
Financial Administration & Procurement Management:
- Track and process executive and business expense reports
- Assist in managing invoices, approvals, and payment tracking
- Ensure accuracy in financial documentation and maintain organized records
- Serve as of contact for vendors and service providers
- Maintain accurate records of vendor contacts, agreements, and transactions
Requirements:
- Bachelor's degree in business administration, Communications or a related field
- Proven experience (3+ years) as an Executive Assistant , PA, Administrator or similar role in the Fintech industry
- Advanced skills in Microsoft Office and familiarity with and document management platform
- Excellent written and verbal communication skills with the ability to draft professional correspondence and reports.
- Strong interpersonal skills, with the ability to interact with senior executives, clients, and team members professionally.
- Exceptional time management and multitasking abilities, with the ability to prioritize competing demands.
- Experience handling confidential business information and maintaining professionalism in all interactions.
Working hours:
- The working hours are flexible: 8.00-9:30 - 17:00- 18:30. This is a hybrid role (2 days from home and 3 days from the office).
