Our client is an established international group headquartered in Switzerland, operating across multiple global offices for over 20 years. The business specialises in the shipping and maritime industry, supplying marine fuels to customers worldwide.

The Role

  • Reporting directly to the CFO, the Corporate Coordinator will play a key role in supporting the administration of the group's international corporate structure.
  • This is a varied position offering exposure to corporate governance, compliance, business expansion projects, KYC, immigration processes, and global office administration.
  • You'll work closely with internal stakeholders and external advisers across multiple jurisdictions, helping to ensure the smooth running of the group's international operations.

Key Responsibilities:

  • Corporate & Fiduciary Administration
    • Manage the administration of the group's international corporate entities. 
    • Liaise with fiduciary providers and agents across multiple jurisdictions to ensure statutory filings, corporate submissions, audits and compliance requirements are completed on time. 
    • Maintain corporate registers and prepare board minutes, AGM and EGM documentation. 
    • Coordinate the preparation and notarisation of corporate documents, certificates and legal documentation. 
  • KYC & Compliance
    • Conduct KYC and due diligence on non-client counterparties, including legal advisers, insurance providers and corporate service providers. 
    • Prepare documentation for opening new bank and brokerage accounts. 
    • Support ongoing corporate compliance requirements. 
  • Business Development & International Expansion
    • Assist with researching and evaluating new jurisdictions for business expansion. 
    • Obtain quotations and coordinate with local fiduciary, legal and professional service providers. 
    • Coordinate the setup of new international offices, including entity registration, banking, office leases and utilities. 
    • Liaise with immigration specialists to arrange work permits, company licences and employee visas. 
    • Provide administrative support for a variety of business development projects. 
  • Corporate Documentation & Office Administration
    • Prepare and maintain templates for corporate documentation, including board resolutions, powers of attorney, agency agreements and authorisation letters. 
    • Maintain company records, letterheads and corporate stamps. 
    • Coordinate administrative matters across international offices, including supplier management, office facilities and service providers. 

Candidate Requirements

  • Minimum 3 years' experience in a corporate administration, fiduciary, legal, compliance, KYC or immigration-related role. 
  • Strong organisational skills with excellent attention to detail. 
  • Confident communicator, able to build relationships with internal and external stakeholders across multiple countries. 
  • Experience managing multiple priorities and meeting deadlines. 
  • Proactive, self-motivated and able to work independently. 
  • Excellent written and verbal English; additional languages would be advantageous. 
  • Strong Microsoft Office skills (Word, Excel and Outlook). 
  • Previous experience within an international or multi-jurisdictional business would be beneficial. 
  • Shipping or maritime industry experience is advantageous but not essential.
