Our client is a privately held holding and investment company based in Limassol and engaged in Green Energy, Development and Hospitality business and they are currently looking to recruit a mid-level Corporate Administrator to join the team. 

Key Responsibilities:

  • Maintain a comprehensive compliance and filing calendar covering all entities across all jurisdictions — Cyprus, BVI, Cayman, and any additional jurisdictions as the portfolio evolves
  • Proactively monitor all upcoming deadlines — annual returns, UBO confirmations, economic substance filings, tax registrations, licence renewals, and any other statutory obligations — and ensure all filings are completed on time without prompting
  • Maintain an up-to-date corporate records database across all group entities, ensuring accuracy and completeness at all times
  • Provide regular status reporting on compliance positions across all entities and jurisdictions
  • Flag risks and upcoming requirements in advance, ensuring the family office is never in default or facing penalties
  • Manage relationships with all external service providers — registered agents, lawyers, auditors, and banks — across all jurisdictions
  • Handle all correspondence with authorities and third parties on behalf of group companies
  • Coordinate and manage KYC and due diligence requirements across all group companies — including requests from banks, auditors, counterparties, and regulatory authorities
  • Handle ad hoc corporate governance, structuring, and documentation requirements as they arise
  • Assist with onboarding of newly incorporated entities and transitions from external service providers

Experience:

  • Minimum 3–4 years of experience in corporate administration within a licensed Cyprus CSP (Corporate Service Provider), law firm, or fiduciary services firm
  • Demonstrated hands-on experience with BVI companies — document preparation, registered agent coordination, and economic substance compliance
  • Experience managing investment holding structures, intercompany transactions, capital calls, and fund movement documentation
  • Proven ability to independently manage a portfolio of multiple entities across multiple jurisdictions simultaneously
  • Experience building and maintaining compliance calendars and proactively managing statutory deadlines across multiple jurisdictions
  • Experience with company liquidations and wind-down processes is a strong advantage
  • Cayman Islands experience is advantageous but not essential
  • Prior experience in a family office, private investment group, or similarly confidential environment is a plus

Knowledge:

  • Cyprus Companies Law (Cap. 113) — thorough working knowledge
  • Cyprus Registrar of Companies e-filing portal — proficient
  • BVI Business Companies Act — solid working knowledge
  • Cyprus AML/KYC framework and ongoing due diligence obligations
  • UBO register requirements and DAC6 basics
  • BVI and Cayman economic substance requirements
  • Standard corporate documents across all relevant jurisdictions — articles, resolutions, registers, share certificates, powers of attorney, certificates of incumbency
  • Willingness and ability to quickly acquire working knowledge of corporate requirements in additional jurisdictions as needed

Qualifications:

  • University degree in Law, Business Administration, Accounting, or related field
  • ICSA / CGI (Chartered Governance Institute) qualification — preferred or working towards
  • CySEC AML certification — preferred
  • ICPAC or Cyprus Bar Association membership — advantageous but not required

  • Proactive and self-directed — takes full ownership of deadlines and compliance obligations without needing to be reminded
  • Highly organised with meticulous attention to detail across a multi-jurisdictional portfolio
  • Discreet and professional — accustomed to handling confidential ownership, financial, and personal information in a private office environment
  • Confident communicator — able to liaise directly and independently with lawyers, bankers, auditors, and registered agents across multiple jurisdictions
  • Fluent written and spoken English — all documentation and external correspondence is in English
  • Russian language skills are a practical advantage

Salary and Benefits:

  • Annual salary of EUR 35,000 – 42,000 gross per annum (depending on experience ) 
  • Annual bonus based on performance
