  • Our client is a Shipping Company based in Limassol and they are now recruiting for an Administrative Assistant (50%) / Accountant (50%).   
  • Administrative duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports Managing Director and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with an office concepts, practices and procedures.  Administrative assistant is able to communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Reports to a Managing Director and act as an executive assistant to the Management. 
  • The accountant is a hands-on position, responsible for the efficient running of the organization’s accounts including everyday duties.  Prepare balance sheets, profit and loss statements and other financial reports. Analyzing trends, costs, revenues, financial commitments and obligations incurred to predict future revenues and expenses. Reports organization's finances to management and offers suggestions about resource utilization, tax strategies and assumptions underlying budget forecasts.

Responsibilities:

Administration Duties:

  • Answer and direct phone calls 
  • Organize and schedule meetings and appointments
  • Maintain contact lists
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Order office supplies
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Provide information by answering questions and requests
  • Take dictation
  • Research and creates presentations
  • Generate reports

  • Prepare and monitor invoices
  • Develop administrative staff by providing information, educational opportunities and experiential growth opportunities
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
  • Contribute to team effort by accomplishing related results as needed
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc. 
  • Organize travel arrangements 
  • Write letters and emails on behalf of other office staff
  • Book conference calls, rooms, taxis, couriers, hotels etc. 
  • Cover the reception desk when required 
  • Maintain computer and manual filing systems
  • Handle sensitive information in a confidential manner
  • Take accurate minutes of meetings 
  • Coordinate office procedures
  • Reply to email, telephone or face to face enquiries
  • Develop and update administrative systems to make them more efficient
  • Resolve administrative problems
  • Receive, sort and distribute the mail
  • Answer telephone calls and pass them on
  • Manage staff appointments
  • Oversee and supervise the work of junior staff 
  • Maintain up-to-date employee holiday records 
  • Coordinate repairs to office equipment 
  • Greet and assist visitors to the office
  • Photocopy and print out documents on behalf of other colleagues 

Bookkeeping duties:

  • Prepares asset, liability, and capital account entries by compiling and analysing account information. Documents financial transactions by entering account information.
  • Recommends financial actions by analysing accounting options
  • Summarizes current financial status by collecting information; preparing balance sheet, profit and loss statement, and other reports
  • Substantiates financial transactions by auditing documents. 
  • Maintains accounting controls by preparing and recommending policies and procedures
  • Guides accounting clerical staff by coordinating activities and answering questions
  • Reconciles financial discrepancies by collecting and analysing account information
  • Secures financial information by completing data base backups
  • Maintains financial security by following internal controls
  • Prepares payments by verifying documentation and requesting disbursements
  • Answers accounting procedure questions by researching and interpreting accounting policy and regulations
  • Complies with federal, state, and local financial legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions
  •  Prepares special financial reports by collecting, analysing, and summarizing account information and trends
  • Maintains customer confidence and protects operations by keeping financial information confidential
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
  • Accomplishes the result by performing the duty
  • Contributes to team effort by accomplishing related results as needed.

Requirements: 

  • Fluency in Greek and English
  • Some experience in accounting and administrative tasks
  • Hard working
  • Team spirit

Working hours:

  • The working hours are 08.00 – 17.00 – or 09.00 – 18.00 with one hour lunch break and which can be skipped
